Intelligent Capture partner PROACTIS, has entered into an agreement with a London Council to deliver of a new purchasing and invoice processing solution including the award-winning Intelligent Capture Managed Service.

The contract extends the use of PROACTIS software and services in the council to automate the purchase-to-pay process while ensuring compliance with organisational sourcing and authorisation rules.

The London Council aims to derive quick and significant efficiencies by streamlining the purchasing process, eliminate the labour-intensive manual registration of invoices, speed up invoice matching and approvals and gain control of all transactions:

PROACTIS Purchasing will make it easy for the council's employees to buy what they need, while ensuring compliance with corporate policies. It will replace paper with electronic documents and workflow to streamline the process, incorporate controls, and provide visibility of purchasing activity. It will reduce the need for involvement from Procurement for routine purchases and give managers much better control of their budgets by providing full visibility of both current and future purchase commitments.

PROACTIS Invoicing will allow the council to cater for all invoices irrespective of the format that they are received. Paper and PDF invoices will be directed to the Managed Service solution from PROACTIS partner Intelligent Capture where paper invoices will be scanned, then undergoing "Intelligent" invoice data extraction and validation with web-based exception management, PDF’s will be received attached to emails and will be automatically imported with the same extraction and exception management process taking place. With the council receiving all invoices electronically, the complete solution will eliminate time spent on document handling and manual invoice entry; allowing the Council to focus efforts on non-matching and exception invoices.

PROACTIS will be integrated to the Councils CA Masterpiece accounting and financial management system.
